Business Intelligence Navigator: scope a STAX knowledge workflow

When an experienced employee leaves, colleagues may lose the context behind a procedure or a customer decision. For a team relying on scattered files and personal explanations, retaining that context takes source ownership as well as a place to store it.

Start with the material people need for a recurring task. A Business Intelligence Navigator can be a useful way to frame the questions a knowledge workflow must answer: which source is current, who may use it and what needs review.

This guide shows example knowledge workflows to scope with MatrixC.

1. Identify the working knowledge the team needs

Ask experienced staff which procedures, exceptions and source documents a colleague would need to repeat their work. Capture that context, assign a source owner and keep it current.

Use the pilot to measure the following review areas:

Review areaWhat to measure in the pilot
Knowledge accessWhether staff find the current approved source and restricted material stays restricted.
Task completionTime needed, answer quality and the review effort required.
AdoptionWhether the intended team uses the workflow in its normal work.

Agree the source set and access requirements. Record who maintains the material and who reviews the output during the pilot.

2. Check the sources before choosing an interface

A database, wiki or shared drive can be a useful source. Its value depends on whether the team knows what is current and who maintains it. Review outdated or conflicting documents before introducing a new search interface.

┌─────────────────────────────────┬───────────────────────────────────────┐
│ Working question │ What to agree or test │
├─────────────────────────────────┼───────────────────────────────────────┤
│ Sources are scattered │ Choose and maintain approved sources │
│ Search misses the context │ Test questions against those sources │
│ Knowledge rests with people │ Capture context and name an owner │
│ Reports need interpretation │ Review the output and next step │
└─────────────────────────────────┴───────────────────────────────────────┘

A conversational interface can help staff ask questions of an agreed source set. Test whether it finds the relevant material and handles missing information. Source preparation and staff review remain part of the work.

Define the source set and the questions the team needs to answer. Test retrieval, source updates and access before relying on the workflow. Knowledge preservation requires ongoing source ownership and maintenance.

3. STAX Data and STAX GPT: the two parts of the workflow

STAX Data organises the knowledge and STAX GPT finds information and prepares a next step. Agree the sources and any connections required for the workflow with MatrixC.

Illustrative workflow. Example figures and connections are for discussion. Confirm the sources, access and integrations for your proposed implementation.

The product page describes two parts of the knowledge workflow:

STAX Data: agree the knowledge sources

STAX Data is the knowledge layer. Agree the sources, update process and source owner. Validate the information used for the task and scope each proposed connection.

STAX GPT: prepare information and a next step

STAX GPT is the conversational layer for finding information and preparing a next step. Check the output against the approved source and decide which actions need a person’s approval.

Using STAX GPT in a daily workflow

Choose a repeated task, give the initial team the current source material and check the answer with its reviewer.

4. Choose a workflow for the intended team

Start with the team that needs the workflow. Agree its training and support needs during the pilot.

Choose a starting workflow for each department and agree how to validate it:

DepartmentExample workflow to validateAcceptance check
HRFind an approved onboarding procedure.Check current policy and confidential-data boundaries.
Sales and marketingPrepare a customer response.Check the approved offer source and require review before sending.
Operations and financePrepare an exception summary.Check source date, access and the follow-up owner.
IT and supportFind a troubleshooting procedure.Check the user may access the relevant system documentation.

The intended team should test the workflow against its own approved source material. Review the result before using it in a customer response or business decision.

5. Workflow examples to validate

These are starting examples to test with an agreed source set.

1. Review distribution exceptions

Bring approved transaction reports into a defined review process. Test the source quality, access boundaries and human approval before relying on an exception or pricing recommendation.

2. Preserve working knowledge

Choose procedures that a new employee needs, assign source owners and test whether the employee can find and understand the current material.

3. Review customer context

Use a permitted source set to prepare a customer summary. Check its accuracy and require review before any message or account action.

6. Four rollout stages to agree

Agree the rollout sequence and dates after reviewing sources, connections and access requirements. The timetable below describes stages rather than a fixed delivery promise.

StepPhase NameTiming to agreePrimary Activities
1Discovery & PlanningAgreed after source/access reviewInventory sources, choose the first workflow and agree access requirements.
2Capture & ConnectionAgreed after source/access reviewPrepare approved sources and configure only validated connections and controls.
3Configuration & TrainingAgreed after source/access reviewRun department examples, validate permissions and train the initial team.
4Launch and reviewOngoingRoll out accepted scope, review use and consumption, maintain source ownership.

Use the stage reviews to decide what is ready. Record any unresolved source, access or connection issue before agreeing the next stage.

7. Agree implementation and support responsibilities

A useful implementation needs agreed sources, access and acceptance checks. Assign responsibilities for maintaining the information and supporting the initial team.

Agree the implementation responsibilities, support scope and acceptance checks with MatrixC in the STAX quotation.

Illustration. Screen figures and interfaces are examples, not measured results or confirmed integrations.

Confirm what the quotation includes for setup, training, support and ongoing source maintenance.

8. Prepare the first workflow for review

Choose a source owner and a workflow owner before starting. Review the source quality, access rules and answer quality during the pilot.

Confirm the supported connection and action scope for Google Workspace or any other proposed system. Broad provider compatibility and full workplace-tool coverage are not assumed.

Discuss a STAX knowledge workflow

Bring one knowledge-access task and its approved source material to the scoping discussion.
